About the Role:

Arbeit Studios is looking for a part-time Sales and Administrative Assistant to help support the smooth day-to-day running of our creative workspaces. This is a great opportunity for someone who is organised, enthusiastic and keen to develop their skills within a creative and community-focused organisation.

The role combines sales support with general administration across our sites. You will assist the sales team and management with a range of operational tasks including preparing tenant contracts, managing studio occupancy, updating records and supporting communications with prospective tenants and partners.

Key Responsibilities

Tenant and System Management

  • Assist with managing studio occupancy and sales applications

  • Respond to enquiries from prospective tenants via email

  • Inform the marketing team about available studios and assist with website or Gumtree updates where needed

  • Maintain and update the tenant management system (Re-Lease)

  • Add new tenants, update contact and billing details, and process move-outs

  • Ensure records remain accurate and up to date for reporting and communications

Administrative and Team Support

● Provide general administrative support to the Directors and Sales/Finance Manager

● Organise filing systems, digital records and office documentation

● Assist with communications, reports and wider team administration tasks

Event Space Support

● Support the coordination and viewing of hireable event spaces where possible

● Draft hire agreements and assist with bookings and payments

● Work with the team to coordinate access, maintenance and event requirements

● Liaise with marketing to support promotion of event bookings

● Help ensure events are safe, well managed and follow internal procedures

Finance Support

● Allocate costs to specific sites or projects and ensure records are coded correctly

● Checking invoices and reconciling transactions if needed

● Assist with preparing and updating P&L reports for individual sites or projects

● Support the finance team with general administration and data entry

Reporting To: This role reports to the Directors and the Financial/General Manager.

Desired Qualifications and Skills

● Some experience in administration, sales support or bookkeeping preferred

● A degree or qualification in accounting, business administration or a related field is welcomed but not essential

● Strong organisational skills and attention to detail

● Good written and verbal communication skills

● Ability to multitask and work independently as well as part of a team

● Comfortable using computer, cloud-based systems such as Gmail and shared drives
